Booking and Payment
To confirm your booking, you are required to pay the tour price fully.
Once we have accepted your booking and received your payment, the contract between us will become binding, and we will send you the payment confirmation and service vouchers.

Children
Discount for children varies on our tours as we offer tours from different operators who have their own terms regarding discounts for children. Please note that not all tours are suitable for children under 12 years.

Notification of cancellations:
If you need to cancel you should notify your travel consultant as soon as possible.
If you need to cancel with short notice (72 hours or less before arrival), please let us know in an email to traveleast@traveleasticeland.is and then call our phone number.

Cancellation of Booking 

Self-drive tours and tailor-made tour packages  
If you cancel your tour:
a)  More than 29 days prior to the start of your tour, you will only be charged 20% of the tour price.
b)  Between 8 and 28 days, you will be charged 50% of the tour price.
c)  Between 3 and 7 days, you will be charged 75% of the tour price.
d)  Less than 72 hours before the start of your tour or after the commencement of the tour, you must pay the full tour price.  This includes all bookings made within 48 hours before the start of the tour.

Guided small groups – cancellation terms
For Guided Small Group individual bookings, Travel East Iceland charges a cancellation fee as a percentage of the total tour package price, as follows:
 More than 29 days before the scheduled tour arrival date: 20% cancellation fee
 Between 15 and 28 days before the scheduled tour arrival date: 50% cancellation fee
 Less than 15 days before the scheduled tour arrival date: 100% cancellation fee

Group bookings – cancellation terms
For group bookings, Travel East Iceland charges a cancellation fee as a percentage of the total tour package price as follows:
For cancellation of the entire group booking:
 More than 10 weeks before the scheduled tour arrival date: cancellation fees are 20% of the estimated total price
 Between 8 to 10 weeks before the scheduled tour arrival date: cancellation fees are 30% of the estimated total price
 Between 4 to 8 weeks before the scheduled tour arrival date: cancellation fees are 50% of the estimated total price
 Less than 29 days prior to arrival: cancellation fees are 100% of the estimated total price

Terms for the cancellation of individual travelers within a group booking:
 Please note that the cancellation by traveler (s) within a group may result in either a price increase for the whole group or a cancellation fee being charged to the traveler (s) that canceled.

Terms for the cancellation of less than 10% of the group:
 Up to 29 days prior to arrival: there is no fee (however it may result in a price increase for the whole group)
 Between 15 and 28 days prior to arrival: 50% cancellation fee
 Less than 15 days prior to arrival: 100% cancellation fee.

Cancellation of day-tours:
Individual suppliers have their own terms off cancellation. Our staff can provide information on those policies for the tours in question.
Some suppliers frequently charge fees for changes; if this occurs, the extra fee will be added to your total.

Non-refundable services:
Please note that cancellation rules are stricter than normal for the following services: international and domestic flights and day tours that include flights. Therefore, Travel East Iceland cannot refund any of these services booked through us. In the event some of our tour packages have stricter cancellation rules, the information will be stated in the package details online.

Changes or Cancellation by Travel East Iceland.
We reserve the right to change any of the facilities or services described on our website. We also reserve the right to cancel the tour. This can be due to weather and/or road conditions or if the minimum number of clients required for a tour is not fulfilled.  We will inform about all changes in advance, and if we have to alter the tour completely we offer you to either cancel your booking and get a full refund or change it to another tour. We do not refund any personal expenses you may have incurred such as domestic flight, accommodation, travel insurance, equipment, visas, vaccinations etc.

Information Provided
Any information provided by Travel East Iceland on such matters as climate, clothing, baggage, special equipment etc. is given in good faith and as guidelines but without responsibility on the part of Travel East Iceland.

Adventure Travel and Client Responsibility
It is a fundamental booking condition that you accept the hazards involved in this sort of tour, and you accept that in visiting remote and mountainous regions there is an element of on-tour flexibility. The itinerary stated in the tour dossier is indicative only and not a guarantee that a particular route will be followed or place reached. You must acknowledge that delays and alterations and their results, such as inconvenience and discomfort, are possible where unforeseen circumstances arise. You must have a level of fitness commensurate with your chosen tour, and you are responsible for bringing the appropriate equipment.

Personal Travel Insurance
Individual travel insurance is not included in the quoted prices. It is strongly recommended that clients take out comprehensive travel insurance against contingencies, including compensation for medical costs and cancellation fees.  In the event of an emergency medical rescue and/or repatriation from a tour by whatever means, the responsibility of such expenses will be the clients.
All luggage and personal equipment are, at all times, at your own risk. We will not be responsible whatsoever for any loss, damage to your luggage and/or personal equipment.

Medical & Dietary Conditions
If you are affected by a medical condition which may affect your or other people’s enjoyment of the tour, you must advise this at the time of booking. Similarly, you must inform us of dietary conditions and preferences at the time of booking.

Independent Travel Arrangements
We will not be responsible or liable for your actions or your safety for any independent travel you undertake before, during (if you choose to leave) or after the tour.

Complaints Procedure
If you have a complaint about the tour, you should make it known to your guide/leader at the earliest opportunity.  If you feel your complaint has not been properly dealt with we shall endeavor to agree on a settlement with you.  Any outstanding complaint not resolved during the tour should be notified to us in writing within 30 days of the scheduled date of return.

Our Liability & Compensation
Travel East Iceland will accept liability for the negligence of its employees causing direct physical injury to passengers only to the extent that it is obliged under Icelandic law. We cannot be held responsible for any mishap to yourself or your property, and in particular for the consequences of flight cancellations, vehicle accidents, strikes, sickness, Government or customs or police intervention or other such happenings amounting to force majeure. By confirming your booking with Travel East Iceland, you acknowledge that we have taken all reasonable steps to safeguard its liability in this respect.

Variation of Booking Conditions
The booking conditions may only be waived by a director of Travel East Iceland in writing. When you confirm the booking form, you agree to accept all these booking conditions, and when we accept your booking, we agree to carry out our obligations to you as defined in tour information provided to you. Both sides of this agreement are made subject to and must be interpreted and enforced according to Icelandic law in an Icelandic court.
